General Terms & Conditions

  1. Prices
    Unless otherwise stated prices are per person per night for bed and full Scottish breakfast. Other meals may be included in special rates which will be indicated. All rates are inclusive of VAT at the current rate. All offers are subject to availability.
  2. Smoking
    The hotel operates a strict no smoking policy throughout.
  3. Disabled Rooms
    If you require a room adapted for people with disabilities, please let us know at the time of booking.
  4. Arrival and Check out
    Rooms are available from 2.00 p.m. on the arrival date. If you are likely to arrive after 9.00 p.m. please let the hotel know in advance.
    You are requested to vacate your room by 11.00 a.m. on the date of departure.
  5. Pets
    We operate a no pets policy within the hotel with the exception of guide dogs.
  6. Payment
    A deposit of £50.00 per person is required at time of booking. The balance (together with any bar or other payments) must be paid prior to departure. We accept payment by debit and credit card (Visa or MasterCard).
  7. Complaints
    We strive to exceed our guests expectations at all times, however if you feel that there is an area where we can improve, or if you have a particular complaint please discuss this with our duty manager or write to: the General Manager, Grant Arms Hotel, 25 The Square, Grantown-on-Spey, PH26 3HF.
  8. Cancellations by Guest
    If you cancel a room booking more than 28 days before the arrival date we will refund the deposit. If you cancel a room booking less than 28 days before the arrival date we will be entitled to retain the deposit.
  9. Conference, Weddings, Functions and Banqueting
    Provisional reservations will be held for 7 days. Bookings not confirmed will be automatically released.
    A booking is only confirmed upon receipt of a letter of confirmation together with a £400 deposit. This deposit is non-refundable unless we are able to re-sell to another client for a similar monetary value. Final details and full pre-payment must be received at least 4 weeks before the event. We will accept a reduction of up to 10% of numbers originally booked. Any extra charges incurred on the day must be settled on departure.
  10. Coach Tours and Group Bookings

  11. General
    Guests are required to conduct themselves in a reasonable manner at all times. Unruly Guests may be required to leave without refund of monies paid. We reserve the right to hold Guests liable for any injury, loss or damage to staff, property, fixtures and fittings. We will not be liable for any failure to provide, or delay in providing, facilities or services as a result of events or matters outside our control. We will take all reasonable steps to ensure that the requirements of each Guest are met, however, we reserve the right to provide alternative services of at least comparable standard at no extra cost to the Guest. We reserve the right to cancel any bookings at any time without giving reason in which case the Guest is entitled to receive a 100% refund of any advance payments but has no further claim.

Coaching Terms & Conditions

  1. Confirmation by the Client
    All bookings will be treated as provisional until the Client has signed and returned the Booking Form.  The Hotel reserves the right to release the provisional booking if the signed Booking Form is not returned within 7 days.
  2. Charges
    Rates quoted are net of commission and inclusive of VAT (subject to alteration should the rate change).  Should the Client reduce the expected number of rooms, the Hotel may alter the rates applicable. Should numbers fall below 10 rooms the Hotel reserves the right to charge at individual tariff rates.
  3. Free Place Policy
    1 free place per 20 paying guests (maximum of 2 free places per group).
  4. Information Required
    The Client must provide the Hotel with the rooming list at least 14 days prior to the date of arrival.

    The Client should provide as soon as possible and, in any event, at least 14 days prior to the date of arrival:
    a) The estimated time of arrival and departure; meal schedules; special requirements and billing instructions for extras.
    b) Amendment to guest numbers/arrangements must be notified to the Hotel in writing immediately they are known.
    c) The Hotel reserves the right to charge the Client in full for any reductions in the duration or contracted value of the booking made less than 14 days prior to arrival.
  5. Arrival/Departure
    Bedroom accommodation is normally available from 4pm on the day of arrival and must be vacated by 10am on the day of departure.
  6. Payment
    Payment is due within 14 days of departure or date of invoice whichever is the later.
  7. Cancellation by the Client
    All cancellations or partial cancellations should be advised to the Hotel immediately they are known and confirmed in writing. Any cancellations received more than four weeks prior to arrival will incur no charges.  A 100% cancellation charge will be due thereafter.
  8. Cancellation by the Hotel
    The Hotel reserves the right to cancel the booking at any time without incurring any liability to the Client if:
    a) It is made 42 days or more prior to arrival
    b) The Hotel (or part of it) is unavailable for use for any reason.
    c)  The Client becomes insolvent or enters into liquidation/receivership/administration or the Hotel has reasonable grounds for believing that the Client is insolvent or payment is or will be in jeopardy or there are monies overdue from the Client to the Hotel.
    d) The booking might, in the opinion of the Hotel, prejudice the reputation of or cause damage to the Hotel.
  9. General
    All descriptions of the Hotels and facilities are published in good faith and are believed to be correct at the time of printing. The Hotel will not be responsible for any facility which is closed or unavailable due to circumstances beyond its control.
  10. The Hotel’s General Terms and Condition also apply except as inconsistent with these Special Terms and Conditions.
  11. No variation of these Terms and Conditions will be effective unless in writing and signed on behalf of the Hotel and the Client.
    In the event of any inconsistency between the Client’s terms and conditions and these Terms and Conditions, these Terms and Conditions will prevail.
